These terms govern use of the Estate Manager platform at myestate.site by estates, their residents, owners, staff and executives.

1. The service

Estate Manager (myestate.site) is a multi-estate governance, revenue assurance and property administration platform. Each estate that subscribes operates its own private workspace: a property register, invoicing and receipts, debt recovery, facility and gate operations, visitor management and a resident portal. The platform is provided to the estate's governance bodies; residents, staff and executives use it under their estate's account.

2. Estate accounts and subscriptions

An estate subscribes to a plan (Basic, Standard or Enterprise, monthly or yearly) after an optional trial period. The estate's administrator is responsible for the subscription, for keeping payment details current, and for the actions of every user the estate adds. If a subscription lapses, office functions may be restricted; residents and gate operations retain access so the estate is never locked out of essential records.

3. Your account

You are responsible for keeping your sign-in credentials confidential and for all activity under your account. Provide accurate information when registering. Estate staff accounts are created by the estate office; resident accounts must be linked to a property record by the estate office before full access is granted. Platform-owner and support access is tightly controlled and logged.

4. Acceptable use

You agree to use the platform only for lawful estate-related purposes. You must not attempt to access records you are not authorised to view, misrepresent your identity or role, interfere with the platform's operation, probe other estates' workspaces, or extract estate data for purposes outside estate administration.

5. Financial records

Invoices, receipts, credit notes, payment plans and recovery records on this platform constitute each estate's official financial record. Charges are raised under resolutions and charge programmes authorised by the estate's governance bodies. Card payments are processed by our payment processor; we never store card details. Disputes must be raised through the disputes facility so they can be reviewed and evidenced.

6. Data and privacy

Each estate is the data controller for the personal data in its workspace; Estate Manager processes that data on the estate's instructions. Access is role-scoped: staff see operational records, residents see their own properties and accounts, and one estate can never see another estate's data. 7. Communications

By using the platform you consent to receive service communications — invoices, receipts, reminders, announcements and account notices — by email and in-app notification. These are part of the service and are not marketing messages.

8. Availability

We endeavour to keep the platform available and accurate but do not warrant uninterrupted service. Records shown are those held at the time; where you believe a record is wrong, contact your estate office or raise a dispute. We may perform maintenance with reasonable notice where practicable.

9. Changes

These terms may be updated as the platform evolves. The date at the top of this page shows the latest revision, and material changes will be announced through the platform. Continued use after an update constitutes acceptance of the revised terms.
